Prepare a commercial brief before drafting

Start with the exact quotation version, reviewed quantity and unit, known costs, payment terms and delivery commitment. Then name the question the buyer wants answered. “Negotiate a better deal” is too broad if the actual issue is an upfront payment, an unexplained freight charge or an unsuitable arrival date.

Turn the current quotation and buyer-approved ask into a concise draft, then review its facts, recipients and commitments before sending.

A sent question does not establish agreed terms.

List the buyer's approved boundaries: what can be requested, what can be offered and what requires another decision. A model should not promise a larger future order, a faster payment or an exclusive relationship because those sound persuasive. Keep internal negotiation notes separate from supplier-visible text.

The Gmail draft API distinguishes an unsent draft from sending it. That provides a useful implementation boundary: creating a proposed message and authorizing its transmission are separate operations. A draft should remain reviewable as the actual recipient will see it.

Example scanner quotation

Consider a quotation for 48 reviewed scanners at $95 each, plus $180 freight. Goods total $4,560 and the known delivered subtotal is $4,740. Payment is requested upfront. The buyer wants to ask whether 30-day payment is available and whether freight can be included, without changing quantity or promising an order.

The brief records those facts and identifies quote Q-48, revision 2. It does not claim the supplier's price is above market unless an appropriate comparison exists. It does not include another supplier's confidential quotation. The requested commercial alternatives are questions, not accepted terms.

Subject: Q-48 revision 2: payment and freight clarification

Hello [contact],

Thank you for the quotation for 48 scanners. We are reviewing the $4,560 goods total and $180 freight charge against our requirement.

Could you provide an alternative with payment 30 days from invoice, and confirm whether freight can be included at the same quantity? Please state any resulting price difference and whether the quoted delivery date and warranty remain unchanged.

We will review your response before communicating a purchasing decision.

Thank you,
[buyer]

Replace the example facts, placeholders and terms with the buyer's reviewed requirement. Ask a precise question supported by the quotation.

Ask the model for a bounded draft

A useful drafting instruction supplies the quote reference, relevant facts, requested alternatives and prohibited commitments. Ask for a concise email that preserves quantity, specification and existing terms unless the supplier explicitly proposes a change. Require an unanswered-questions list outside the email.

For example: “Use the reviewed facts below to ask about payment timing and freight inclusion. Do not promise an award, disclose competing offers or invent urgency. Leave uncertain information as a question.” Review the result before use.

Review names, numbers and dates even when the wording reads naturally. A draft can sound polished while referring to the previous quote revision or converting a needed arrival date into a promised dispatch date.

Compare concessions on the whole offer

A supplier may reduce price while shortening warranty or requiring advance payment. Record those changes beside the new total. A lower subtotal is not automatically an improvement if the buyer must accept a consequential tradeoff.

Proposed changeBuyer question
Freight includedIs the destination and delivery basis unchanged?
Lower unit priceDid quantity, specification or minimum order change?
Different payment timingWho reviews cash exposure and approves the term?
Earlier deliveryIs the supplier committing to arrival or dispatch?

Keep the negotiated response as a new proposal until reviewed. A changed source should invalidate a pending draft based on the old offer, or at least require the buyer to confirm that its facts still apply.

Review transmission and record the outcome separately

Before sending, check the recipient's role, attachment revision, copied recipients and authority for any commitment. Show the final unsent email. Record its quote basis and reviewer so teammates can avoid preparing contradictory messages.

Include transmission confirmation and uncertain-send reconciliation in Trion’s email workflow scope.
